How many years of data are kept on the OpenUA website?

Arkansas Code 6-61-137 requires the presentation of expenditure data starting with the 2012 fiscal year, until ten (10) years of expenditure data is available, after which at least ten (10) years of expenditure data will be presented. Data is available here for the April 2014 to June 2020 date range. In July 2020, the university implemented Workday as its system of record for human capital and financial management, including payroll, accounting, position management and budgeting.  With the implementation of Workday across the UA System, the Open Checkbook data for the University, along with other UA System institutions, is now available at UA System Open Checkbook for July 2020 and beyond.

May I search using a partial Payee Name?

Yes, searching using a partial name or combination of letters will pull up all records that contain that series of letters.

May I use more than one search criteria at the same time?

Yes, you may select any combination of search criteria to limit classification, organization, or payee.

Why does “Privacy Protection Required” display for some payee names?

Certain Payee Names have been removed in order to protect the privacy of individuals, in accordance with Family Educational Rights and Privacy Act (FERPA) regulations or where it might be a violation of protected information. These redacted names appear as “Privacy Protection Required.”

How do I find an employee’s position?

Click on the “details” link beside the payment. Employee position is displayed under the Title column.

Can I sort the data in OpenUA?

Column headers allow you to sort. Merely click on the column header to sort by that column.

Under the Compensation classification, what do the columns Department and College/Unit represent?

These columns detail how the position fits organizationally in the University structure. The College/Unit column displays the organizational unit ultimately responsible for the position and the Department column displays the sub-unit within the College/Unit where the position is assigned. In some circumstances the College/Unit and Department columns display the same information because the College/Unit only has one department or the College/Unit has an administrative department with the same name.

What are the definitions for information displayed in detail fields?

The following terms are used within the detail fields:

  • Compensation Type - identifies the specific type of compensation provided an employee via Payroll earnings.
  • Occupation Title - Legislative Title uniquely associated with a Legislative Title Code, except for certain groups like Faculty which have the same Legislative Title for many Legislative Title Codes.
  • AP ID - a system assigned number and unique identifier of an Accounts Payable (vendor's invoice or credit memo, or other direct payment).
  • PO NO - The unique identifier for a purchase order.
